Send a meeting request

Use Calendar to schedule meetings via e-mail with contacts who use Outlook or Outlook Mobile.

  1. Tap Start > Calendar.
  2. To schedule a new appointment, tap Menu > New Appointment.
  3. Tap Attendees.
  4. To invite essential meeting participants from your company directory, tap Add Required Attendee, and then tap Company Directory.

      Notes

    • Access to the company directory is available if your organization is running Microsoft Exchange Server 2003 SP2 or higher, and if you have completed your first synchronization with Exchange Server.
    • To invite other participants, tap Add Optional Attendee.
    • You can specify if an attendee is required or optional only if your device is connected to a Microsoft Exchange 2007 server. Otherwise, all attendees are designated as required.
  5. Enter a contact name, tap Search, and then select the name.
  6. To invite each additional attendee, tap Add Required Attendee.
  7. To remove an attendee, select the attendee's name and tap Menu > Remove Attendee.
  8. Tap Done.

    The meeting request will be sent to the attendees the next time you synchronize your device with your PC.

Note

When attendees accept your meeting request, the meeting is automatically added to their schedules. When their responses are sent back to you, your calendar is updated as well.

Schedule an appointment

  1. Tap Start > Calendar.
  2. Tap Menu > New Appointment.
  3. Enter a subject for the appointment.
  4. Select the start and end times.
  5. Note

    To schedule an all-day event, in the All Day box, tap Yes.

  6. When finished, tap ok to return to the calendar.

Notes

All-day events do not occupy blocks of time in Calendar; instead, they appear as banners at the top of the calendar.

To cancel an appointment, tap the appointment, then tap Menu > Delete Appointment.

Tip

To automatically enter the start and end times in Day view (Menu > View > Day), tap the time slot for the new appointment, then tap Menu > New Appointment.

View a list of meeting participants

  1. Tap Start > Calendar.
  2. Tap a meeting or an appointment, then tap Attendees.

Notes

If you select a meeting that you have organized, the list shows who has accepted or declined the meeting.

To view an attendee's contact information, tap the attendee's name. If the attendee is included in your contacts list, you will see the contact information immediately. If the attendee is not in your contacts list, tap Company Directory to view the contact information.
